VECTOR Oncology (ACORN) Survey & Reporting System

The Issue

VECTOR Oncology (formerly ACORN Research), an oncology health outcomes and clinical trial efficiencies research organization, which uses custom patient surveys to help pharmaceutical companies evaluate currently approved treatments & develop new treatments, wanted to modernize their survey system to utilize web-based technology platforms and permit access from the internet.

The Request

VECTOR Oncology contracted Mind Over Data to revamp their survey system, deliver separate Administrative and Client Survey user interfaces and to provide appropriate and necessary security features built around a specific hierarchical structure (i.e., VECTOR – Admin & Staff, Location – Admin & Staff and Patient).

The Solution

In Phase 1 of the project, Mind Over Data created a centralized, web-based, patient survey and reporting system with Client-Facing, Administrative and Rules modules. The front-end, Client-Facing module, designed to run on Android tablet, laptop, or desktop PC, with the user interface targeting a 1024x768 resolution browser, provides a portal for patients to create an account and take surveys. The back-end, Administrative module, equips VECTOR & Clinic admins with everything they need to manage the system. The Rules module allows site administrators to define conditionally executed actions based on occurring events. For example, time-interval triggers can be set to define the length of time that must pass before surveys or particular survey questions are presented to patients again, email alert triggers can be set to automatically send emails if a particular answer is given and reporting triggers can be set to highlight symptoms (which exceed predefined thresholds) on the physician’s report. Subsequent development phases added several UI changes to the patient portal and delivered the following new features: basic, conditional question branching, a Spanish language version of the Core Survey and the ability to enter data using a keyboard, reset patient PIN numbers and export data via the HL7 Interface (framework & related standards for transferring patient information between healthcare organizations). Monthly web hosting services were also provided by Mind Over Data.
